Privacy Policy
This policy explains what personal data DecSOFT SRL collects through this website and in the course of our work, why we collect it, and the rights you have over it.

1. Who we are
This website is operated by DecSOFT SRL ("DecSOFT", "we", "us"), a limited liability company registered in Brașov, Romania, EU VAT number RO18041135. We are the data controller for the personal data described in this policy.

2. What data we collect
We keep data collection to the minimum needed to run our business.
- Information you send us
- If you email us, we receive your email address, your name as it appears on the message, and whatever you choose to tell us. This site has no contact form — all enquiries reach us as ordinary email.
- Client and project data
- If you become a client, we hold the contact and billing details needed to carry out the work and to meet Romanian accounting and tax obligations.
- Server log data
- Our hosting provider automatically records standard technical information for each request — IP address, date and time, the page requested, browser type and referring page. These logs exist for security, abuse prevention and diagnosing faults.
We do not run advertising networks, behavioural tracking, or third-party analytics on this website, and we do not buy or sell personal data.
3. Why we process it, and our legal basis
- To answer your enquiry — legal basis: our legitimate interest in responding to people who contact us, and taking steps at your request prior to entering a contract.
- To deliver and support a project — legal basis: performance of our contract with you.
- To meet accounting, tax and other legal duties — legal basis: compliance with a legal obligation.
- To keep the website secure and working — legal basis: our legitimate interest in protecting our systems and visitors.
- Optional cookies, if we ever introduce them — legal basis: your consent, which you can give or withdraw at any time.
4. Cookies and local storage
This website currently sets no analytics, advertising or tracking cookies.
When you answer the cookie notice, we save that single choice in your browser's local
storage under the name decsoft-cookie-consent, so that we do not ask you
again on every page. It contains nothing but the word "accepted" or "rejected", it is
never sent to our server, and it is not used to identify you.
You can change your answer at any time using the Cookie settings link in the footer of any page, or by clearing your browser's site data. Choosing "Reject" does not reduce any functionality of this site.
If we later add optional cookies — for example basic visitor statistics — they will be switched off until you accept them, and this policy will be updated first.
5. Who we share data with
We do not sell or rent personal data. We share it only where necessary, with:
- Our hosting and email providers, who process data on our behalf as processors under a written agreement, solely to run this website and our mail.
- Our accountant and, where required, the Romanian tax authorities, for invoicing and statutory reporting.
- Professional advisers or authorities, where we are legally obliged to disclose information.
6. International transfers
We prefer suppliers inside the European Economic Area. Where a provider processes data outside the EEA, we rely on an adequacy decision by the European Commission or on Standard Contractual Clauses, together with appropriate safeguards.
7. How long we keep it
- Enquiries that do not become projects — up to 24 months, then deleted.
- Client project records — for the life of the working relationship and a reasonable period afterwards for support and warranty purposes.
- Invoices and accounting records — for the retention period required by Romanian law.
- Server logs — short-term, as configured by our hosting provider.
8. How we protect it
This site is served only over HTTPS and sends strict security headers. Access to mailboxes and client data is limited to those who need it and protected by strong, unique credentials and multi-factor authentication where available. No system is perfectly secure, but we take these safeguards seriously.
9. Your rights
Under the GDPR you have the right to:
- be told what personal data we hold about you, and get a copy of it;
- have inaccurate data corrected;
- have your data erased, where no legal duty requires us to keep it;
- restrict or object to our processing, including processing based on legitimate interests;
- receive your data in a portable, machine-readable form;
- withdraw consent at any time, where processing is based on consent.
To exercise any of these, email info@decsoft.biz. We will reply within one month. You will never be charged or treated differently for making a request.
If you believe we have handled your data improperly, you may complain to the Romanian supervisory authority, the National Supervisory Authority for Personal Data Processing (ANSPDCP) — dataprotection.ro — or to the authority in your own EU country of residence.
10. Children
Our services are aimed at businesses. We do not knowingly collect personal data from children. If you believe a child has sent us personal data, contact us and we will delete it.
11. Changes to this policy
If we change how we handle personal data, we will update this page and revise the date above. Where a change is significant, we will say so clearly.
